Program Administrative Secretary

Introduction
The Johns Hopkins Applied Physics Laboratory (APL), a national leader in scientific research and development, located midway between Baltimore and Washington, DC is seeking a Program Administrative Secretary.

Responsibilities

Provide administrative support, including high level public and APL staff interface for National Security Space Program manager's office and NSS staff. Act independently on all routine administrative and secretarial matters for the SD NSS Program Managers. Duties include conference room identification, meeting coordination (including refreshments), security clearance checks and updates, handling phone calls, overhead expense tracking, cell phone bill invoicing, and document distribution. Resolve procedural questions and problems in practices and procedures, and assist staff in these matters. Provide interaction and liaison with the government sponsors and other external representatives, APL management, SD management, NSS staff members, and other APL technical staff. Assist the NSS Business Area core team and Program/Project managers in responding to sponsor requests for program material. Manage office documents, files, logs, and security procedures. Independently prepare draft documentation and correspondence. Review for appropriate formatting, editing, and security procedures. Reproduce, route and distribute documents to appropriate recipients. With little guidance, produce charts/graphics using Excel and other software as needed. Prepare travel planning, manage meeting arrangements and clearances (for both internal and external meetings), and ensure all staff members' clearances are up-to-date, renewed in a timely manner, and confirmed to be at the recipient organization. Prepare employee business expense and travel reimbursement forms, review for accuracy, and route for signatures. Act as a resource for security matters and coordinate with other Department administrative staff to help with issues that may arise or where assistance is needed. Assist the NSS Administrative Assistant, in support of the Business Area during peak times with meeting preparation, clearances, travel, report preparation, and general office activities. Interact with and support the NSS Executive Management team.

Qualifications
Required:

High-school education. Minimum of 7-10 years of administrative or secretarial experience. Professional and cooperative demeanor with excellent interpersonal and organizational skills. Ability to use discretion and solve problems independently. Ability to act independently on routine administrative and secretarial matters. Previous experience in handling classified materials. Demonstrated written and verbal communication skills and excellent proofreading skills. Demonstrated high level proficiency in use of desktop computer applications, including Microsoft Office applications (Outlook, Word, PowerPoint, and Excel). Applicants selected will be subject to a Government security investigation and must meet the eligibility requirements for access to classified information. Eligibility requirements include US citizenship.

Desired:
Associate's degree. Experience in APL practices and procedures, travel arrangements, security procedures, and conference room arrangements. Knowledge of SD procedures and operations including APS and RMIS. Previous experience in dealing with sponsor organizations.
