Position Summary
* To help maintain the Records and Information Management Program by assisting and training KPL employees and their associated capabilities using the established elements of the RIM program. To continually gain knowledge around RIM best practices and to share that knowledge with other KPL employees.
Learn the different types of active/inactive records and their locations
Provide training and guidance to KPL Official Record Owners and KPL Employees covering their areas of responsibility concerning the RIM Program.
Ensure that records are retained and destroyed or discarded in compliance with the KPL Retention Schedule
To collect any necessary information for the RIM Key Performance Indicators for which responsible is given.
To assist capability groups and individuals, by reviewing their Records and Information Management processes, to determine the most efficient methods for them to be better aligned with the goal of the RIM program.
Communicate any record holds and hold releases to affected KPL employees
Retain all active records for which custody is given in a way that ensures ready access by authorized individuals.
* Database Management/Entry - Responsible for database entries into Work Management database systems, as well as administration & maintenance.
* Project Management / Records Management - Manage everyday business records & projects efficiently and timely. Must be able to organize special projects, as needed.
Requirements
* 3+ years experience working with record & information systems
* Excellent computer skills (MS Office Suite, XP Operating System, Filing Structure)
* Excellent organizational skills & the ability to prioritize according to urgency while remaining flexible to changing situations
* Excellent communication skills; both verbal and written/grammar
* Excellent analytical skills
* Experience conducting record inventory
* Excellent customer service skills while maintaining a professional mannerism
* Self motivated and demonstrated decision making skills
* Must be detail oriented
* High School Diploma or equivalent
Preferred:
* Experience in the Pipeline or Refining Industry
* Developing Record Retention Schedule
* Experience with MAXIMO, LYNX &/or SAP
* Knowledge of Record Management software product (Versatile Preferred)
* Training personnel in record systems, organizational policies, and procedures
* Associates or Bachelors degree in Library Science or Business
Other Considerations:
* Ability to lift a minimum of 35 pounds on a frequent basis
* Current ARMA or AIIM member
* Certification from ARMA in the Advanced Record Management Program
* Must be willing to travel overnight, occassionally
* Must be able to successfully pass pre-employment drug screen & background check
