PURPOSE/OBJECTIVE
To lead, supervise and execute Front Office operations to include Front Desk, Rooms Coordinator, and PBX.
DUTIES/RESPONSIBILITIES
• Provide superior service to our guests, owners and guides at all times. Follow The Resort’s etiquette guidelines.
• Plan, coordinate, supervise, monitor, and evaluate all daily operations of assigned front desk functions including front desk, guest check-in and out, reservations, and group room coordination.
• Exercise full supervisory authority, directly, and indirectly, over front desk employees. Plan and conduct staff training programs. Confer regularly with staff to plan and coordinate activities, assign and review work, resolve problems, etc. Plan staffing needs and work schedules. Prepare time sheets and payroll records.
• Monitor all assigned operations on a regular basis to ensure quality of service, inspect rooms and other physical facilities, etc. Deal with a variety of opportunities that may arise on a daily basis.
• Confer regularly with maintenance supervisor and other department or Company personnel (front desk and reservations, maintenance, accounting, etc.) to plan, coordinate and evaluate activities, services, events, policies, procedures, exchange information, resolve problems, etc.
• Prepare various administrative and operations reports and records related to assigned functions. Prepare and process work orders, purchase orders, etc.
• Deal with Guests and owners as necessary; handling various unusual or difficult situations, requests or complaints.
• Communicate and game plan with the Director of Housekeeping to ensure efficient use of our inventory.
• Develop and implement staff training programs.
• Ensure that proper safety, and security procedures are followed by all staff.
• Perform other tasks as assigned.
WORKING RELATIONSHIP
Supervision is received from the General Manager of Lodging and Vice President of Lodging.
PHYSICAL REQUIREMENTS
• Ability to stand for extended periods of time.
• Keyboarding
QUALIFICATIONS
• Bachelor’s or Associates degree; or one to two years related experience and/or training or a combination of education and experience from which comparable knowledge and skills are acquired.
• Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
• Ability to write routine reports and correspondence.
