Sales Coordinator

Job Location: East Rutherford, NJ

Hours: Part time / 25 hours a week

Director of Sales and Catering

Grade:

Hourly (Non-exempt)

Compensation:
$13-14/per hour

Summary:
To handle all group rooms and some transient requests in a timely manner. To effectively forecast group rooms to the Director of Sales and Catering. In addition, work in a support effort in the marketing aspect of the hotel.

Essential Duties and Responsibilities
Include the following. Other duties may be assigned.

*Report to work on time and in business attire with proper nametag.
*Each associate is expected to carry out all reasonable requests by management which the associate is capable of performing.
*Each associate will be required to follow the rules as found in the Concord Hospitality Handbooks.
*Must take directions well. Able to perform several functions simultaneously.
*Have a through understanding of the hotel’s organizational chart and proper chain of command.
*Have proper knowledge of all laws pertaining to the basics of Hospitality Management.
*Maintain professional conduct with set high levels of integrity within the hotel.
*Have good working knowledge of all departmental office procedures.
*Maintain promptness and accuracy in completion of all assigned projects.
*Distribute pertinent information in a timely manner to the operations staff.
*Handle group rooms by inputting group blocks, adhering to cut off dates, and notifying managers of the dates. Contact the guests within a reasonable time period to remind of cut off dates and adhere to the date.
*Do weekly forecast of group rooms and appropriately cut back blocks as needed.
*Generate a period end tentative listings for the upcoming period to distribute to the Director of Sales and Catering. In addition, develop a 90 day forecast, and a need date calendar.
*Be familiar with MARSHA and PMS functions.
*Sent out confirmations to guest of room types requested when in a sell out of specific room types.
*Work with the Front Office Manager in communicating special requests for the customer.
*Generate the weekly room packet and distribute to all departments.
*Answer incoming sales calls as support to the coordinator and assist in maintaining the files for the sales office.
*Process advance deposits. Set up House accounts for all group entering the hotel.
*Be fully acquainted with all queues and work through them each day.
*Assist as needed in other hotel departments.
*Attend the weekly sales meetings.
*Have weekly forecasts and updates ready for staff meetings, and give to director of Sales and Catering for review prior to meetings.
*Assist Director of Sales in marketing material development for hotel.
*Assist in Food and Beverage advertising initiative.
*Cost analysis of marketing programs proposed to the Director of Sales.
*Market penetration analysis on a per period basis.
*Communicate marketing promos to internal and external guests.
*Assist setup and electronic marketing, and track it.
*Assist with setup of fax machines.
