Position summary: Location (Denver, CO)
To provide Executive Assistant Support Services to the Defense Clandestine Service (DCS) operations with the Defense of Intelligence Agency (DIA) to include, but not limited to, the following:

Tasks:

  • Possess a general knowledge of Office of Secretary of Defense (OSD), Defense agencies, Military Departments and the Intelligence Community (IC) sufficient to understand general relationships.
  • Demonstrate a working knowledge of policies and procedures governing travel of Department of Defense (DoD) personnel.
  • Understand regulations and directives governing the control of highly classified materials, to include security regulations and directives.
  • Knowledgeable of all aspects of the DoD and DIA Record Management System.
  • Maintain appropriate records and services as the office focal point for acquisition, accountability, and of overtime funds, travel funds, supplies, equipment, space allocation, and expendables necessary for the orderly conduct of operations. Recommend to the government requirements that warrant funding.
  • Serve as COMSEC custodian/hand receipt holder Responsible for compliance with NSA Manual 90-2. The duties include accountability of COMSEC equipment and keys; maintain complete and accurate Register files; maintain hand receipts and maintain completed and accurate administrative files; as well as, sign for detachment COMSEC equipment and keys.
  • Draft, process, catalog, file, and maintain Operating Base (OB)/ Detachment (DET) correspondence, messages, and other documentation and obtain approval from government project manager. Correspondence includes military letters, award recommendations, minutes of memoranda, enclosures, endorsements, transmittal letters, award recommendations, minutes of meetings, talking papers, background papers, fact sheets, point papers, and briefing papers. Messages include Knowledge ability briefs (KBs), Contact Coordination Requests (CCRs), arrival notices, for which (IIRs & OVOPs) preparation will be limited to formatting and editing, as well as selected messages in DIA Manual (DIAM) 100-2 and 58-12 that do not commit the government to any action. Sub-tasks shall include: word processing, typing, editing, marking classification marks, preparing envelops, annotating writer information, assembling completed correspondence and documents for review, approval and signature: making copies: retaining office copies: and placing them in official files: prepare classified mail and packages for the Defense Courier Service.
  • Established expertise on current DoD regulations and established procedures, and draft new procedures as required for government approval. Sub-tasks she include keeping abreast of and annotating changes to these documents.
  • Maintain up-to-date databases. Sub-tasks shall include providing timely input and changes to keep data current.
  • Track and monitor actions. Sub-tasks shall include receiving actions, entering them into an appropriate record, indicating an assigned action officer and indicating status and completion of each action. File a copy of each completed action.
  • Maintain administrative and training records and files: and administer records management and forms control.
  • Prepare briefing material and travel arrangements.
  • Receive and process reports In Accordance with (IAW) DIAM 58-12.
  • Maintain records of OB/DET equipment, housing, property, security, supply, and vehicle accountability, maintenance.
  • Serve as office Security Officer (SO).
  • Serve as conduit for record Management Officer and point of contact for military and civilian manpower and personnel actions. Drafts applicable paperwork for government approval.
  • Consolidate and edit various recurring reports.
  • Serve as the travel focal point, compose and prepare Temporary Duty (TDY) justification; verify travel requests for conformance to travel plans, resolve deviations, and ensure accountability on travel-related items.
  • Perform database management support, including requests and associates paperwork, database (Basic) development and population, integration of imagery files into databases, and other systems support.
  • Have the ability of providing field support by preparing support documentation as directed by senior program managers in support of technical equipment and systems.
  • Serves as a Deployment Manager, responsible for coordinating the in-processing of Directorate for Defense Counterintelligence and HUMINT Center (DX) personnel for worldwide deployments. Supervise and coordinate requests for travel orders, training, pay advances, security clearances, and issuance of logistic and field equipment. Coordinate with DoD and non-DoD support agencies on behalf of the field elements; perform other duties as assigned in support of the Staff Management Division.
  • Attendance and punctuality are critical to this position.
  • Perform other related duties as required.

Education and Experience: High School as well as 5 years of administrative operations experience, supporting mid-level management staff. Be proficient and have demonstrated experience in the use of the following software: Microsoft Windows, Microsoft Outlook, Microsoft Word, Microsoft Power Point, and Microsoft Excel.

Security Clearance: Position requires a Top Secret /SCI Poly Clearance. Employee must maintain clearance eligibility at the level required by the contract throughout employment.
