Engagement Services Coordinator


Description:           Provide customer service for people in immediate crisis while providing administrative and communication support for all program services. Manage client appointment desk and receivables while assisting volunteers with crisis call hotline.

                              Coordinate client care services and collaborative support for at-risk clients in immediate crisis.  Provide intake services.  Assist in building and providing collaborative resources for staff and clients. 


Qualifications:       Licensed Social Worker or equivalent work experience in social services/mental health field. Candidate must be able to connect with diverse economic classes and ages, experience diffusing stress, encouraging, listening and problem solving with all ages. Ability to dual task is a must. Office experience required, including demonstrated proficiency in Microsoft Word, Excel with an aptitude for software, reports, graphing and computer research.


Preferences:           Experience working with at-risk persons, training in Bridges Out of Poverty, volunteer experience in a nonprofit/church setting, or crisis hotline preferred.


Terms/Hours:      Full time hourly position with nonexempt status. Hours are Monday 8:30 am - 4:30 pm, Tuesday 8:30 am 8:30 pm, Wednesday & Thursday 8:30 am - 4:30 pm and Friday 8:30 am - 12:30 pm


Reports to:             Assistant Program Director of Engagement Services




       I.            Central Communication Services

·         Track inbound and outbound persons

·         Maintain security using camera surveillance

·         Receive unopened mail and deliveries for Administrative Director

·         Provide outgoing postal services

·         Maintain office calendar

·         Maintain phone system

·         Review website and social media for client accessibility

·         Provide social media posting as needed

     II.            Client Hospitality

·         Greet clients and direct inbound persons

·         Create hospitable atmosphere for clients

·         Answer phone and manage crisis calls

·         Maintain music channel for confidentiality

·         Respond to Personal Alarm Button alerts

·         Respond to Personal Alarm Button alerts

·         Provide client Media Release forms and schedule testimonials

  III.            Appointment Desk Services

·         Manage appointment desk

·         Invoice & process payments for client services

·         Provide intake and assessment forms for new clients

·         Schedule initial clients and reschedule cancellations as needed

·         Oversee data input in client software (billing, demographic & outcome data)

·         Balance client income using billing reports

·         Oversee & Manage Pre-enrollment Cases and Closed Client Files

   IV.            Intake Services

·         Oversee intake appointment services, including referral & scheduling

·         Facilitate first appointment services, the Intake appointment, at HopeNet evaluating the client’s environment, strengths, physical, emotional and spiritual needs

     V.            Training Administration

·         Provide Human Resource Team training of HopeNet personnel and service providers including interns and volunteers

·         Process Training requests (topics, type of presentations, schedule presenter, logistics, etc.)

·         Secure and maintain Training Agreements (securing presenters, presenter needs, payments, etc)

·         Coordinate and execute administrative tasks for annual HopeNet Wellness Conference

·         Execute Registration for annual HopeNet Wellness Conference

   VI.            Volunteer Oversight

·         Maintain crisis care process outlined in the Human Resource Team Training Manuals 1 & 2

·         Recruit client service (advocate) volunteers

·         Train, mentor and oversee client service volunteers

·         Recruit & train Getting Ahead program volunteers

·         Assist Case Coordinator with building & providing collaborative resources


VII.            Team Collaboration & Community Awareness

·         Provide HopeNet general and safety training for all personnel

·         Consistently communicate with staff

·         Participate in weekly staff meetings

·         Participate in weekly individual supervision

·         Collaborate with Assistant Program Director to develop, evaluate and implement collaborative strategies for organizational effectiveness

·         Represent HopeNet at fundraising and networking events

·         Assist Assistant Program Director as needed
