Job Description
The Administrative Specialist provides overall budget preparation, office management and administrative support to the Director of the International Students and Scholars Office.
The position is responsible for assisting with budget preparation, updating financial reports, monitoring departmental accounts, calculating projected expenditures, monitoring costs charged to departmental accounts, and recommending changes in spending when appropriate. The person in this position will also initiate and process financial documents (payroll, accounts payable, accounts receivable, purchasing, employment, etc.) and verify that transactions are processed in accordance with University policies and procedures. He/she will also serve as a consultant in business matters related to Human Resource Services, Payroll, Vice President for Student Affairs, Purchasing, ITS and Facilities Planning and Management. He/she will maintain personnel records, including vacation and sick leave, make travel arrangements and prepare expense reimbursements accordingly. The position is also responsible for ordering office supplies, maintaining equipment, and general office management.
The Administrative Specialist will supervise up to two professional staff members. He/she will monitor and evaluate the performance of subordinate personnel, approve monthly timesheets, and coordinate reception function.
The Administrative Specialist supports the Director by assisting in the development of office policies/procedures and providing professional administration advice and counsel. He/she will compile and analyze information for inclusion in reports and presentations. The person holding this position must possess independent judgment, initiative, and ability to communicate well with a diverse population.
Required Qualifications
Bachelor's degree and related administrative experience. An equivalent combination of experience and/or education totaling four years may substitute for the bachelor's degree when the substitution is at a comparable level and directly related to the duties of this position.
Preferred Qualifications
- Experience working in higher education administration.
- Experience in an international education office or similar environment.
- Experience planning and managing a department budget.
- Proficiency in MS Office applications (Word, Outlook, Internet, Access and PowerPoint) and Windows XP.
- Experience working with a diverse population.
- Experience that demonstrates ability to supervise professional staff or students.
- Familiarity with human resource issues.
- Experience living or studying abroad.
- Demonstrated excellent communication skills (written and verbal).
Salary
Minimum $30,448; commensurate with qualifications
