Administrative Assistant - 016013
Description Position Summary This position is responsible for providing administrative support for three (3) Directors; project specific support for four (4) Senior Development Associates; and occasional backup support for the Vice President - all located in the Washington, DC office. The position involves extensive contact with various levels of internal personnel as well as external customers. The successful candidate must be professional in manner and demeanor, detail-oriented, enjoy working within a team environment and possess the ability to work with minimal supervision. The ability to maintain confidential information is a must. Of equal importance are personal integrity, a strong work ethic and a compliance focus.
- Perform administrative tasks including, but not limited to telephone coverage, correspondence, invoice payment, expense report preparation, company credit card reconciliation, courier and overnight package shipping
- Organize high-volume mailings
- Foster positive relationships with internal and external contacts
- Schedule and manage meetings/appointments and related travel needs
- Track team communications (phone calls, emails, personal visits)
- Manage database(s) utilized by team and proactively seek opportunities to improve systems, eliminate waste and create efficiencies
- Assist with event planning and logistics
- Provide backup coverage for the Office Coordinator as required
Qualifications Required
- 2+ years` experience as an administrative assistant within a professional environment
- 1+ year experience scheduling business travel and accommodations
- Highly proficient with Microsoft Outlook, Word, Excel and PowerPoint
- Strong attention to detail and a commitment to quality
- Strong organizational and project management skills
- Professional telephone skills and etiquette
- Excellent oral and written communication skills
- Ability to maintain confidential data
- Enjoyment of a fast-paced work environment
- High School Diploma
Preferred
- Prior experience supporting corporate government relations office
- Associates or Bachelor`s Degree
Other Considerations - Overtime may be required
- Attendance at events outside of normal working hours on weekends and evenings may be required
- Some lifting could be required - up to 40 lbs.
