Koch Pipeline Company, L.P. (KPL) is looking for an Administrative Assistant who is able to make sound economic decisions, drive predictable execution, anticipate needs of customers, and achieve competitive results. This Administrative Assistant will support the various members of KPLs Southeast Texas Operating Group and will provide office management support for the Port Arthur, TX office.

Responsibilities:
  • Will provide general administrative support to the Southeast Texas Operating Group
  • Assist with meeting arrangements, projects, and presentations as requested
  • Assist with travel as requested (hotel accommodations, ground transportation, coordination of travelers, etc.)
  • Assist in setting up newly hired employees (new hire paperwork, cell phone setup, nomex and safety equipment, vehicles, credit card, business cards, office arrangements, etc.)
  • Maintain the vehicle list for Southeast Texas and review all vehicle Maximo work orders.
  • Perform daily office tasks such as distribution of mail and packages, handling outgoing mail and inter-office envelopes, handling office correspondence, updating and managing the phone directory, answering phone rollovers, and assisting visitors
  • Perform office manager duties including but not limited to: scheduling & coordinating office building maintenance & repairs, managing office supplies, overseeing janitorial services, assisting with office layout & furniture purchases, review & approval of monthly recurring utility invoices, and managing building cleanliness & aesthetics
  • Assist personnel of Southeast Texas in Purchase-to-Pay when needed
  • Supply new vendors and KPL accounting with information needed to setup accounts.
  • Exhibit flexibility in prioritizing tasks in a fast paced office environment
  • Demonstrate critical thinking/problem solving skills
  • Consistently present a calm and professional demeanor
  • Demonstrate exceptional organizational skills
Required:
  • Associate`s degree in business or related field OR High School Diploma with three years of administrative experience
  • One year of administrative experience in an office environment
  • Communication skills including writing, proofreading, and phone etiquette throughout all levels of the organization
  • Experience with a variety of computer applications to include proficiency with Microsoft Outlook (Email and Calendar), Word, Excel, and PowerPoint
  • Experience managing sensitive information in a confidential manner
Preferred:
  • Five years prior experience as an administrative assistant in a corporate environment
  • Previous office manager experience
