Development Associate
Job Location: Manhattan, KS
SUPERVISOR:
Executive Assistant for Development
DESCRIPTION:
This position provides administrative support, communication and organizational skills to two or more Directors of Development and/or Development Officers as an assigned team. Confidentiality must be maintained for donor information and organization business. Regular full-time non-exempt position.
ESSENTIAL FUNCTIONS:
1. Maintain a comprehensive understanding of the mission of the KSU Foundation as it relates to the educational, research and service goals of the University with the ability to communicate the institution’s needs and priorities — both internally and externally.
2. Establish and nurture effective, collegial working relationships with foundation coworkers, university partners, and donors.
3. Promote and demonstrate respect, collaboration, and friendly customer service in all working relationships.
4. Compose and produce correspondence, proposals, memo’s of understanding and documents for the assigned development team.
5. Maintain donor and fund database (ONE), create reports and manage database related projects as directed. Organize special projects utilizing spreadsheets and databases.
6. Assist in organizing and coordinating fund raising communications, including answering the telephone, directing calls, taking messages and setting appointments for assigned team.
7. Utilize the ONE donor database to enter donor call reports from meetings or other contacts between development staff and donors.
8. Assist in planning and organizing special activities and events in conjunction with the development and event staff as needed.
9. Provide team continuity by attending staff meetings, planning schedules, prioritizing workload within assigned team and acting as a liaison between University staff and development staff.
10. Maintain confidentiality regarding all correspondence and mail related to the Foundation and its donors.
11. Assist in organizing and coordinating fund raising materials and activities.
12. Provide general back-up and clerical assistance for other assigned teams in the development department as needed.
13. Assist with travel plans by coordinating air, lodging and car reservations and organize travel itineraries.
14. Other work related duties as assigned.
Education:
High school diploma or equivalent. Bachelors degree, office technology diploma or associates degree in business or related field preferred.
Experience:
A minimum of three years general office work experience preferred. Extensive experience in data entry and word processing required through the use of Microsoft Office products (Word, Excel, Access, and PowerPoint.) Knowledge of Internet, email and electronic calendars required. Experience in coordinating and managing events preferred.
Skills:
Strong ability to enter data accurately and ability to meet deadlines. Strong ability for details, 55 wpm typing, word processing, strong general computer knowledge required. Excellent communication, organizational and time management skills are necessary. Database experience is preferred. Confidentiality important.
