Job Summary:
Responsible and accountable for the preparation of the files/ documents received in from subordinating departments with in the Liberty Capital Company. Verifies every document is accounted for and then places in the proper location with in document group. Responsible for the accurate scanning of all documents on one of the five scanners and the day-to-day care of the scanning equipment.
Essential Functions:
* Facilitates Imaging Functions, and ability to comprehend technology that relates to department database(s).
* Troubleshoots program and scanner(s) with little to no input from Supervisor.
* Follows established procedures and schedules based on the requirements of our investors.
* Reviews file, stacks documentation in appropriate order, verifies required documents have been included and make necessary corrections to information.
* Downloads data into the record management database.
* Maintains regular attendance and punctuality as evidenced by attendance records.
* Maintains customer confidence and protects operations by following the Privacy Policy, keeping information confidential and answering questions / requests in a timely manner.
* Maintains organized Records Retention storage area.
Secondary Functions:
* Prepares and delivers paid out loan files to the Records Retention Coordinator for Retention purposes daily and with in given time frames.
* Retrieves data from company programs/ databases to obtain current information regarding documents.
* Troubleshoots the documents/ files to find the appropriate data needed.
* Checks in and labeling bulk purchase deal files.
* Contributes to the team effort by working on special projects, performs other job-related duties and accomplishments related results.
* Assists in training, and cross training of new employees and other organization personnel.
* Answers questions as it relates to mortgage files/documents from the Financial Centers.
Job Standards :
* Must be able to prep 3 files/hour or 500 pages/hour.
* Must be able to scan 3 files/hour or 700 pages/hour.
* Must be able to work Monday-Thursday 10 a.m. to 7 p.m. and Friday 8-5 p.m.
* Re-files returned loan files to appropriate location daily.
* Completes request for loan files/documents received with in 2 hours of retrieval.
* Processes weekly report on last day of workweek, and monthly progress report by first day of the month, every month.
* Posses good knowledge of most processes in the department with in 3-month time frame as evidences by the ability to perform duties with guidance.
* Remains a positive Influence and provides constant dedication and subordination at all times

* Talking- Ability to express or exchange ideas by means of the spoken word
* Hearing- Ability to receive detailed information through oral communication
* Seeing—Ability to view a computer screens for an extended period, and/or identifies individuals visually.
* Sitting—Ability to sit for extended period.
* Walking—Ability to use feet and legs to move from one place to another specifically in narrow/confined spaces
* Balancing—Ability to maintain equilibrium to prevent falling.
* Standing-Ability to stand on feet for long periods of time
* Mobility- Ability to move from one place to another specifically in narrow/confined spaces to file within the records center.
* Climbing—Ability to use feet and legs and hand/arms to climb ladders/stairs for reaching high places
* Stooping—Ability to bend the body downward and forward to move/pick up objects.
* Finger dexterity—Ability to work with fingers for handling small objects and use a keyboard
* Reaching—Ability to extend hand/arms in any direction to move/handle objects
* Lifting—Ability to lift and/or move up to 35 pounds.
Knowledge, Skills and Abilities:
* High school diploma or equivalent required
* 1-year office related experience preferred.
* At least 6 months of Mortgage Banking, Retail Banking, or imaging experience preferred.
* Demonstrated skills in numeric filing, problem-solving and planning skills required.
* Ability to change priorities quickly, work effectively under time constraints and contribute to the team effort is essential.
* Motivation and initiative are essential, along with flexibility in scheduling.
* Ability to follow strict guidelines and work under a deadline with little to no supervision.
* Demonstrated professional courteous manner, present a well-groomed, business like appearance, demonstrate good presentation abilities and use proper telephone etiquette/grammar, excellent verbal/written communications skills required.
* Must be detail oriented and have the ability to prioritize tasks.
* Pass the required physical assessment testing.
* Common knowledge of the scanning and or computer technology preferred.
* Must possess good organizational skills, ability to adopt to change and contribute to team effort.
* Ability to use and/ learn industry related software specific to Liberty and the department
* Prefer Microsoft Office skills and be able to utilize standard office equipment, demonstrated by the ability to perform data entry with accuracy and thoroughness.
