Position Description: Chief Administrative Officer Overview This is a rare opportunity for a seasoned financial professional. The chief administrative officer of a well-established investment advisory firm will be a highly motivated individual with well-developed leadership skills and extensive experience with financial services, accounting, and human resources. The chief administrative officer will be responsible for daily operations while individually performing financial, accounting, and administrative duties with speed and accuracy. The candidate must possess an extraordinary orientation for detail and maintain absolute confidentiality in all areas of work. Responsibilities The chief administrative officer is responsible for the following functional areas: Operations & Service Oversee the administrative and professional staff, including accounting & systems manager, research analyst, and executive assistant, whose responsibilities comprise portfolio accounting and reporting, file and document management, client mailings, meeting scheduling, investment research, and other general administrative duties. Ensure implementation and documentation of all operational systems, policies and workflows and procedures Manage operational systems, procedures, and technologies, including but not limited to: · Portfolio accounting · Portfolio trading · Advisory fee billing · Performance measurement and reporting Format quarterly newsletter and oversee its distribution to clients and prospective clients. Oversee functional business items including corporate insurance, facilities management, equipment management and business and industry licensing issues. Work with the president to develop and implement the firm’s business strategy Accounting Prepare corporate financial statements, participate in the budgeting process, and monitor the financial condition of the company on an ongoing basis Oversee the accounts payable and accounts receivable functions, and perform bank reconciliations Manage all personal financial, accounting, and recordkeeping for the president of the corporation Process corporate payroll and ensure timely filing of related reports Work with the external CPA to prepare and review corporate tax returns and personal tax returns for the president of the corporation and related entities Information Technology Work with the president and systems manager to develop the firm’s IT strategy and direction Evaluate and recommend new technology solutions to improve operations and increase efficiencies. Oversee the operation of the firm’s IT systems and equipment. Human Resources Communicate and implement the firm philosophy, procedures, standards of practice and workflow Interview and recommend operations and administration candidates Develop and maintain a staff orientation and training program Develop and implement employee performance evaluation program in coordination with management consultant Provide ongoing administration of employee compensation plan and benefits package Maintain all employee records and personnel files. Oversee firm’s paid time off program Skills and Experience The ideal candidate will possess the following skills and experience: · Bachelor’s degree in accounting or finance · Strong accounting and financial analysis background · Minimum ten (10) years business management experience · Investment or banking industry experience preferred · Superior written and verbal communication skills · Excellent interpersonal and team management skills · Advanced Microsoft Office and QuickBooks proficiency · Portfolio Accounting (Advent Software) and Desktop Publishing experience preferred Compensation Competitive compensation will be offered.
