Assistant Director Of Administration (Exempt)

Job Location: Rutherford, NJ

Job Description:
To thrive in this role, you'll need to love variety, be able to work independently and as a team, communicate well and be super organized! We are looking for a motivated individual with a proven track record in office administration/finance and ability to work under pressure and prioritize.

Qualifications:
  • 3-5 years experience in Office and/or Finance Management
  • Proficiency in Microsoft Office - Word, PowerPoint and Outlook. Excellent skills in Microsoft Excel.
  • Excellent communication skills (oral and written), organizational skills and attention to detail
  • Organized, analytical and detail-oriented with ability to multi-task and prioritize appropriately
  • Math ability and understanding of financials
  • Excellent listening, communication, customer service and telephone skills
  • Ideal candidate will posses a college degree (B.S. or B.A.).

Responsibilities:
Assist the Executive Management with the daily operation of the YMCA.

Finance and Reports
  • Compile reports to show such statistics as cash receipts and expenditures; accounts payable and receivable; and profit and loss.
  • Perform various accounting functions, including: assisting with preparation of the annual budget, annual audit, internal management, governmental and donor reports. records management, collection and reporting of statistics, and accounting functions
  • Complete Accounts payable/receivable functions for the association
  • Manage receivables and ensure that they are collected in a timely manner. Generate and mail monthly billing statements.
  • Provide support to Finance Department and Executive Management
  • Conduct shift closeouts; prepare bank deposits; administer payment reversals; process refunds and system credits; monitor MST system adjustments; set up and run EFTs and
  • Credit card batches; administer Third party billing, etc.
  • Prepare monthly budget and forecast reports to CFO
  • Administer the Agency Payment relationship for clients participating with OFC, NJ Kids, etc.
  • Confidentially process Scholarship requests by evaluating client's application, securing substantiating documentation, and interviewing clients.
  • Create and design management reports utilizing MS Excel.
  • Create and design forms, reports and business correspondence utilizing MS Word.
  • Review, refine, create and document systems, procedures and best practices for Member ST (MST). Seasonal set up of YMCA Programs in MST. Monitor and train staff in MST procedures.
  • Maintains filing system involving follow-up and chronological files. Human Resources-
  • Assist in the general human resource functions, including, but not limited to: processing new hires and terminations, assisting with recruiting and staff orientation, maintaining time and attendance records, maintaining personnel files, responding to employee related inquiries, updating employee manual as appropriate.
  • Process semi-monthly payroll for employees

Administrative:
  • Filing system, answering phone, mail distribution, and e-mail correspondence.
  • Overall knowledge of Association systems and equipment
  • Answer phones, provide program and general information and/or redirect calls to appropriate staff. Greet visitors and provide excellent customer service.
  • Complete program registrations for YMCA programs in MST.
  • Run errands in the South Bergen County area.
  • Accept and complete any special projects.

Hours:
Full Time Exempt- 40 hours per week. Monday through Friday 9 am - 5 pm. Additional hours and days may be required.


Compensation Package:
  • Annual salary

  • Vacation - First year - After completing 90 days - One vacation day per month of service.
  • After first year - 10 working days per year.
