Job Duties Working Relationships:
Individual must perform administrative duties for the Director of Business and Industry Services, Coordinator of Computer Training Services, and Computer Training Specialists. Must be able to work cooperatively with other Meridian Technology Center staff as needed to professionally meet position expectations.
Essential Job Functions:
1. Answer the phones for the Computer Training Services and the Business and Industry Services office area and answer questions as they relate to open enrollment programs.
2. Process student and client enrollment for adult programs including entering student enrollments in the MSAS application, preparing and disseminating enrollment verifications, canceling enrollment when requested by the Coordinator of Computer Training Services, and providing information to students regarding parking, room location, meals, policies, etc.
3. Produce professional daily correspondence as needed.
4. Maintain a student computer course interest list.
5. Mail catalogs and course descriptions to students as necessary.
6. Prepare instructor paperwork (contract, requisition, and time sheet).
7. Compile materials needed for classes including: instructor packets, books, copies, transparencies, roll sheets, completion certificates, etc.
8. Compile and maintain a detailed, up-to-date inventory of all equipment, software, and training materials.
9. Prepare and place orders for books as needed for training classes.
10. Respond to instructor and participant inquiries and requests.
11. Prepare reports and send Program Enrollment Forms to the Oklahoma Department of Career & Technology Education.
12. Complete necessary in-house written communications including: invoices, tour sheets, requisitions, memorandums, training agreements, payroll requests, etc.
13. Prepare and compile reports, charts, graphs regarding Computer Training Services and instruction.
14. Maintain detailed records of class participation, attendance, class cancellation, and facility utilization.
15. Prepare information and documentation for ordering computer training related items including facilitator manuals, participant manuals, and consumables.
16. Prepare and submit instructor payroll to Finance for processing the 15th of each month.
17. Keep office supplies stocked for personnel, making purchases from the Meridian Mart as needed.
18. Train new support staff in the Computer Training Services area.
19. Complete the noon rotation of the MTC switchboard every other Friday or as requested by the BIS Director.
20. Must be able to lift and carry materials as required for programs (15 pounds).
21. Support the Director of Business and Industry Services, the Coordinator of Computer Training Services, and the Computer Training Specialists.
22. Assist other secretaries in BIS Division when necessary.
23. Attend staff meetings as requested by the Superintendent, BIS Director, or the Computer Training Services Coordinator.
24. Dress in a professional, appropriate manner abiding by the MTC dress code.
25. Report to work on time according to the scheduled hours requested for the day.
26. Report reasons for any tardiness to the Coordinator of Computer Training Services.
27. Utilize work time efficiently between 8:00 a.m. and 5:00 p.m. and report any exceptions to supervisor and BIS staff.
28. Abide by all policies and procedures adopted by the Meridian Technology Center Board of Education and assist in implementing all policies and/or procedures governing client conduct.
Standards of Performance:
The Secretary, Computer Training Service will be evaluated on the previously listed responsibilities twice per year based on Meridian Technology Center’s Performance Review Guidelines. These evaluations will determine salary increases and career advancement possibilities.
Contract Length: 12-month position
