Academic Affairs Coordinator
Job Description


Job Classification:
Non-Exempt, Full-Time
Work Schedule: As Negotiated in Offer Letter
Compensation: As Negotiated in Offer Letter
Reporting Relationship: Vice President of Student Services

Primary Accountabilities:
The Academic Affairs Coordinator performs difficult and specialized clerical and administrative
support for senior administrative staff with an expectation of resolving problems and making
independent decisions. The Academic Affairs Coordinator exercises independent judgment while
initiating and coordinating office procedures and timelines in order to provide support for academic
affairs, including faculty and instructional staff; analyzes situations accurately and takes
appropriate action in identifying problems and recommending solutions; and is the point of contact
for academic affairs department.

Major Duties:

Supports academic affairs, including faculty and instructional staff, as main point of contact
for academic department.
Provides clerical and administrative support for Vice President of Student Services
(VPSS).
Assists the Chief Academic Officer (CAO) and program Directors with the evaluation
process of Adjunct Faculty.
Assists Human Resources in the recruitment, verification of credentialing per policy 7.3.3,
orientation, and training of adjunct faculty.
Develops and maintains full-time and Adjunct Faculty handbooks, evaluation process and
schedule, and relevant calendars.
Assists LMS Administrator with instructional support within the learning management
system to provide assistance to faculty.
Maintains documentation and resources for accuracy within the portal and website.
Assists CAO with mentoring first-year faculty, which could include providing assistance in
course development and classroom strategies.
Organizes and conducts adjunct in-service at the beginning of each semester.
Maintains accuracy of program and course information within the Kansas Board of
Regents database system in collaboration with the CAO, Associate Vice President of
Institutional Advancement (AVPIA), and Registrar.
Coordinates and maintains course outlines and syllabi in accordance with Kansas Board
of Regents regulations.
Organize, maintain, and update the class scheduling process in database every semester
working closely with program faculty and Registrars office
Maintain textbook information in bookstore online system, and be main point of contact for
institution
In coordination with the Registrar and CAO monitor and update articulation agreements
accordingly
Direct and assist faculty with catalog changes requiring curriculum committee approval
Manage, conduct, and assist in reporting of student IDEA assessment process and end-
of-program testing under direction of the AVPIA
Support faculty with instructional projects, program review, travel requests or other
projects as deemed necessary.

Job Description

Maintain and update information, assist with, and organize program advisory committee
meetings in coordination with faculty and program Directors
Coordinate yearly Agricultural Mechanics contest.
Ensure minutes/notes at official meetings lead by VPSS, AVPIA, and Registrar are
documented per compliance of college regulations
Performs all other duties as assigned.

Qualifications:

Bachelors degree in business, secretarial science or related field.
Masters degree in business, secretarial science or related field (preferred).
Three (3) years of increasingly responsible secretarial or administrative assistant
experience.
Experience with interpreting, applying and explaining laws, codes, rules, regulations,
policies, and procedures.
Strong computer and word processing skills, in particular experience with database
systems and computer applications, specifically Microsoft Office.
Communicate effectively both orally and in writing, type or input data accurately and at an
acceptable rate of speed, and working knowledge of databases.
Ability to work independently, as well as in a team environment.
Understand and resolve complex issues, complaints or problems.
Ability to organize, multi-task, plan and set priorities with minimal supervision.
Ability to exercise good judgment with a strong attention to detail in setting priorities and
organization of work load.
Understand and resolve complex issues, complaints or problems.
Ability to work with individuals from diverse backgrounds.
Demonstrated poise, tact and diplomacy with the ability to handle sensitive and
confidential information and situations.

Physical Demands:

Ability to sit for extended periods of time.
Ability to read computer screens and mail, email, and talk on the phone.
Ability to unpack and move supplies up to twenty-five (25) lbs.
Ability to work occasional evenings and attend events as required.

Work Environment:

Professional and deadline-oriented environment in an educational setting.
Interaction with students, staff and guests.
