JOB DESCRIPTION:

 

Under supervision of Director of Operations, promptly prepare and process conferences/training/meetings request forms and expense reports; maintain and monitor divisional budgets relating to conferences/training/meetings; establish procedure and management of Agency cell phones/blackberries and air card accounts, billings, reimbursements and database; coordinates and oversees in-house events; assists Facilities Unit with input and update of telephone database and Agency vehicle fleet; performs related duties as required by Director of Operations. Monitor and process monthly invoices for vehicle fuel credit cards and EZ Pass. Prepare budget tables and assist in data input as requested by the Director and/or Deputy Director. Perform special projects as required.

MINIMUM REQUIREMENTS

 

EDUCATION / EXPERIENCE:

Two (2) year degree from an accredited college or university; three (3) years of relevant experience; or any equivalent combination of education and experience which meets the required knowledge, skills and abilities.

SKILLS:

Knowledge of effective application and use of technology and internet resources in purchasing travel and hotel accommodations and organization resources. Knowledge of Microsoft Word and Excel Programs and ability to accurately enter and retrieve computer data. Excellent organizational skills (planning, goal setting, prioritizing) and ability to accomplish multiple assignments in a timely manner. Ability to communicate effectively orally, in writing and to listen actively. Ability to establish and maintain effective working relationships. Ability to maintain positive work atmosphere in an appropriate manner of behavior that ensures cooperation and effective communication with customers, clients, peers and management. Knowledge of HMFA policies and State/Federal regulations governing conferences/training/meetings, travel and hotel accommodations.
