Proposal Coordinator Position

Job Description
Collaborate with Proposal Manager and subject matter experts throughout the organization for directives and information for writing and coordinating proposals. Help develop and maintain proposal schedules, assignments, and action items. Maintain version control of draft proposal materials and proposal development repository along with proposal manager. Coordinate logistics for strategy/briefing meetings and conference calls. Distribute RFP/briefing book to team and ensure that all updates are distributed in a timely manner.

Research and write new content to address RFP requirements, including collaboration with internal resources. Develop, when necessary and maintain corporate boilerplate for use in future proposals. Perform other writing-related marketing activates as necessary, including development and maintenance of marketing collateral.

Proposal Coordinator will be responsible for all aspects of proposal preparation including the following:
  • Analyzing RFP for requirements
  • Developing outlines
  • Developing proposal schedules
  • Directing proposal development
  • Soliciting and enduing participation from proposal team and subject matter experts
  • Proposal writing and editing
  • Reviewing and incorporating information from team partners
  • Tailoring resumes and project descriptions to align with proposal requirements.
  • Tracking amendments/modifications to solicitations
  • Preparing /submitting questions and reviewing responses posted for all solicitations/proposals in progress
  • Coordinating word processing/graphics support
Requirements: Job Requirements
  • Must have Bachelor’s Degree in Engineering, Science, Technical, or Business Administration. A Master’s Degree is a plus.
  • Must have 5 to 10 years of technical proposal writing for Architectural, Engineering, Science, and Environmental Government business.
  • Must have a experience managing and delivering a range of government proposals and be knowledgeable of typical government contract sales and RFP processes.
  • Experience as program manager, cost estimating and scheduling, or pricing is a plus.
  • Must have excellent organizational, writing, and oral communications skills.
  • Must have project and proposal management experience.
  • Must be able to manage and meet deadlines.
  • Responsible for developing and creating contract structures to meet Federal and State guidelines for submittals.
  • Must have knowledge of processes and procedures for submitting contract information and be able to manage and meet deadlines.
Federal Government Clearance Required:
None, but must be able to obtain a clearance, if required

Flexible Benefits Plan
Pro2Serve offers a flexible benefits plan to professionals who average working 20 hours or more per week on a regular ongoing basis. Participants in the plan may pay for benefits with pre-tax dollars under IRS Section 125. In addition, for every compensated hour, while eligible, professionals earn flex credits. These credits may be used toward the purchase of benefits or taken as taxable compensation. Plan choices are:

Major Medical Plan with Prescription Card and Dental and Vision Plans. Pro2Serve participates in the best medical, dental, and vision plans available in today’s changing environment.

Life Insurance and Disability Insurance. Professionals averaging 20 hours or more per week on a regular ongoing basis are eligible for company-paid life insurance coverage at 1.5 times annualized base pay. Additional amounts may also be purchased with pre-tax dollars under the flexible benefits plan. The company also provides long-term disability coverage for professionals averaging 20 hours or more per week on a regular on-going basis. Short-term disability coverage is available to eligible employees to purchase with pre-tax dollars under the flexible benefits plan.

Flexible Spending Accounts. Pro2Serve offers professionals, who qualify to participate in the Section 125 Plan, the opportunity to establish a medical and/or dependent care Flexible Spending Account (FSA). These accounts are set aside with pre-tax dollars to pay dependent care expenses and/or medical bills such as day care, medical and dental deductibles, co-pays, and optical and orthodontic care.

Retirement Plan
New employees can enroll in the 401(k) retirement plan after one month. Pro2Serve matches the first 3 percent of contributions at 100 percent and the next 2 percent of contributions at 50 percent (4 percent match possible). You may contribute up to 15 percent of gross pay toward several investment choices subject to overall limitations placed by the federal government. Pro2Serve contributions made after January 1, 2004 are fully-vested immediately.

Comprehensive Leave
Employees earn Comprehensive Leave, which may be used for vacation, illness, or personal time off. Accrual rates vary based upon years of service.
