Position:Full-Time, Temp to Hire

Job Summary:
Tulsa Nonprofit is looking to hire a Full-Time Administrative Specialist/Receptionist. The ideal candidate will have a good attitude, strong character, and integrity. They will have an excellent work ethic, take pride in their work, and pays close attention to detail.

Duties and Responsibilities:
Reception
  • Answer multiple-line phones
  • Direct phone inquiries and detailed messages to the appropriate staff members
  • Respond to general phone inquiries in a professional and courteous manner
  • Open office for staff and guests by 8:00 a.m.
  • Greet visitors in a professional and friendly manner
Office Administration
  • Provide secretarial and administrative support to management and other staff
  • General maintenance of office to include but not limited to: scheduling, preparation and clean-up of meetings, conference rooms and equipment.
  • Order, receive and store basic office and kitchen supplies
  • Maintain a working relationship with vendors, service technicians, property management, etc.
  • Sort and distribute incoming mail, e-mail, general voicemail messages, faxes, and courier deliveries
  • Prepare and send outgoing faxes, mail and courier parcels
  • Assist in copying and assembling information for quarterly and/or annual newsletters, distribution reports, donor reports, mass mailings, special projects, etc.
  • File material according to the established procedures on a daily and as-needed basis
  • Prepare invoices when needed
  • File accounts payable invoices with appropriate documentation before payment
  • Back-up electronic files using proper procedures
  • Prepare documents for storage
  • Perform other related duties as requested


Experience:
  • 2-5 years related experience preferred
  • High School Diploma
  • Some foreign language is a plus (Spanish preferred)
  • Post-secondary education in business, computers, or office management is an asset
  • Microsoft Office
  • Database management
  • E-mail
  • Internet
  • Multi-line phone system
  • General office equipment: fax, photo copier/scanner, laser printer


Supervisor Requirements:
The professional hired will not be responsible for the direct supervision of any staff.

  • Able to establish and maintain positive working relationship internally and externally
  • Effective verbal and written communication skills
  • Able to multitask while maintaining efficiency
  • Highly organized and able to establish and maintain office organization
  • Willing to learn in both formal and informal settings
  • Must enjoy working alone but still function as a team player
  • Ability to establish priorities, work independently, and proceed with objectives without supervision
  • Ability to think creatively and resolve recurring problems

Physical Requirements:
Physical requirements for positions include: arm and hand steadiness and finger dexterity enough to use a keyboard and telephone; occasional lifting up to 25 pounds; may be subject to walking, standing, sitting, and reaching; and vision, speech, and hearing sufficient to perform the essential tasks. Any physical restrictions should be discussed or noted within the interview process.
