MATERIAL SUPPORT ADMINSTRATOR I

Job Title: Material Support Administrator I FLSA Status: Exempt

Reports To: Materials Manager

SUMMARY
Administer customer order transactions from order entry to receipt by customer; Provides single point of contact for customers; Track outstanding requirements for each customer; Prioritize and allocate orders.

THOSE THAT ARE LISTED UNDER THE EXAMPLES OF WORK ARE NOT ALL INCLUSIVE; THEY ARE EXAMPLES ONLY AND MAY BE AMENDED OR ADDED TO AS NEEDED BY THE ORGANIZATION.

1. Review Customer Orders
2. Knowledge of Import/Export Regulations compliance
3. Knowledge of Department of State and Commerce Licensing, Export Commodity Codes, and Schedule B codes
4. Perform Order Maintenance and follow up for assigned customers
5. Coordinates with all departments to prioritize and allocate orders
6. Act as single point of contact
7. Track Shipments
8. Dealing with Coworkers/Customers/Public
9. Analyze, track, document, and report warranty claims against vendors and suppliers
10. Document and ship aircraft parts on the Department of State U.S. International Traffic in Arms Regulations (ITAR)
11. Ability to write coherent work instructions
12. Ability to learn and use basic statistical functions
13. Ability to manipulate data in Microsoft Programs i.e. MS Access, EXCEL etc.

• Process customer orders.
• Provides feedback to the customer on order status.
• Establish order priorities.
• Reviews order priorities and upgrades when necessary.
• Assists in the coordination for the distribution control with other company entities to ensure timely availability and control of aircraft supplies, material and equipment.
• Schedules data input in a timely manner for information to be processed electronically.
• Analyzes data usage information to determine levels of inventory necessary at beddown and primary inventory stock locations.
• Ensures timely availability of shipment and control of aircraft supplies and parts.
• Analyzes material condition of excess/obsolete parts.
• Greets visitors and clients.
• Exhibits positive courteous behavior with customers, businesses and coworkers.
• Assists coworkers and those in other departments to successfully perform job tasks and functions when necessary.
• Follows all safety procedures and practices as established by the Company and regulatory bodies.
• This job does not have supervisory responsibilities.

INCUMBENT PERFORMS OTHER JOB-RELATED TASKS AS ASSIGNED AND REQUIRED; ANY DUTIES/TASKS INCLUDED IN THE EMPLOYEE'S PERFORMANCE EVALUATION ELEMENTS ARE ESSENTIAL TO THAT EMPLOYEE'S POSITION WITHIN THE JOB CLASSIFICATION.

MINIMUM QUALIFICATIONS

The following minimum qualifications have been identified by subject matter experts (SME'S) who have supervised this position or functioned in the position; they are based on job analysis information supplied by these SME'S. EDUCATION and/or EXPERIENCE:

Associate of Science degree in Aviation Maintenance Management or Engineering and two (2) years experience in work related to the above described examples, OR Two-year degree or certificate from an accredited two- (2) year college, university or technical school in Aviation Administration or a related field AND four (4) years of experience in work related to the above described examples, OR Graduation from a standard four (4) year high school or equivalent (GED) AND six (6) years of experience in work directly-related to Aircraft Parts. Knowledge of SAP and Microsoft products. Aircraft Maintenance experience is preferred.
