ROLE SUMMARY

Performs a variety of clerical duties under general supervision. Greets and assists patients, schedules appointments, and assists with maintaining patient records and provider schedules.

CORE RESPONSIBILITIES

1. Performs receptionist duties as needed. Answers telephone, screens calls, takes messages, and provides information.

2. Schedules appointments for patients either by phone when they call in or in person after an office visit. Uses manual/computerized system to match physician/clinician availability with patients preferences in terms of date and time. Maintains scheduling system so records are accurate and complete and can be used to analyze patient/staffing patterns. Ensures that updates (e.g., cancellations or additions) are input daily into master schedule.

3. Communicates as needed with physicians/clinicians and other staff about any patient concerns/issues related to scheduling.

4. Greets, screens, and directs patients to waiting area. Monitors waiting room to insure patients are assisted in a timely manner. Assists with maintaining cleanliness of waiting room and front office.

5. Obtains, verifies, and updates patient information. Requests, locates, sends, and receives patient medical records as needed.

6. Performs clerical duties related to clinical services as needed which may include medical transcription, composition, and dictation in a medical group.

7. Orders office and clinical supplies. Assists in the care and maintenance of office equipment.

PRACTICE SPECIFIC RESPONSIBILITIES

CHILDRENS CLINIC: - Assembles patients health information including patient symptoms and medical history, exam results, X-ray reports, lab tests, diagnoses, and treatment plans. Checks to ensure all forms are completed, properly identified, and signed and that all necessary information is in the manual and/or computer file in preferred manner such as chronological.

- Scans items as needed. Preps and assembles all documents in appropriate order. Ensures that patient name, encounter number and medical record number are documented on each page of the medical record.

SKILLS, KNOWLEDGE, AND ABILITIES

Knowledge of medical terminology and office procedures

Knowledge of grammar, spelling, and punctuation to type from draft copy and review and edit reports and correspondence

Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately

Skill in operating office equipment

Skill in organizational matters, including time management, prioritization, multitasking, and problem-solving

Ability to learn/use computer programs including Microsoft Excel, e-mail, Internet, and other software

Ability to read, understand, and follow oral and written instructions

Ability to sort and file materials correctly using alphabetic or numeric systems

Ability to communicate clearly and concisely

Ability to establish and maintain effective working relationships with patients, physicians and other clinical staff, and the public

Knowledge of legal and ethical considerations related to patient information
