Assistant Director for Apartments & Greek Housing

Description:
The function of this position is to administer four critical areas. First, the person is responsible for providing campus wide leadership and administration for all Greek facilities contracted with University Housing - financial, contractual, facility, hiring and training of House Directors, and life safety (all of which supports the success of the Greek houses). Second, they are the primary contact for members and House Directors regarding all issues not related to the actual chapter organization. Third, they are part of the team responsible for implementing the Greek Task Force recommendations. Fourth, they are responsible for supervising all aspects of the day-to-day operations of the apartment complex housing 200 upper division students. The person reports to the Director for Administrative Services for University Housing.
Minimum Requirements:
Education/Experience Required
Master’s degree in Higher Education, College Student Personnel, or other related field and a minimum of one (1) year full-time in a higher education environment.
Mental Demands Required
Because of the sensitive nature of incidents involving students, staff member must be able to deal with students, staff, and faculty in confidential matters. Must be able to generate solutions, collaborate with others, demonstrate initiative and have personal resiliency.
Physical Demands Required
Attendance, sight, speaking, write/type, and mobility to visit facilities are required. There is a possibility for exposure to chemicals, fumes, dirt, toxins, hazards, hot/cold, noise and blood.
Knowledge of Equipment Needed to Perform the Tasks
Computer, typewriter, telephone, adding machine, photocopier, fax machine, videocassette recorder, power point program, Excel and Microsoft Word software.
Authority/Reportability
Authority to make operational decisions within his/her area with general direction from the Director for Administrative Services. All University Housing and University policies and procedures must be followed.
Preferred Qualifications:
Master’s degree in College Student Personnel or Higher Education Administration, Counseling or directly related field of study; more than one (1) year full time experience post masters higher education experience; significant experience in residence hall and/or Greek administration; experience supervising paraprofessional staff; strong oral and written communication skills; strong organizational and administrative skills; experience with University financial systems.
Job Duties:
Administrative (80%)
1. Train and supervise student staff managing the apartment office.
2. Works with the University Housing Residential Facilities staff in establishing and maintaining ongoing maintenance and cleaning of the apartment complex.
3. Work with Coordinator for Marketing to advertise the apartment complex to students.
4. Coordinate all aspects of the Greek housing operation including contracting, room assignments, roommate matching, opening and closing of the houses and room key distribution.
5. Monitor financial expenses of each house using University systems and provide monthly reports to the Director for Administrative Services.
6. Assist with major capital improvement proposals and planning efforts for the Greek houses managed by University Housing and the apartment complex.
7. Investigate, determine and coordinate the damage billing process.
8. Act as liaison with University Housing Facilities for matters pertaining to all aspects of the Greek houses.
9. Assess facilities and provide information to appropriate sources.
10. Promote and encourage safety within and around Greek Houses and the apartment complex.
11. Coordinate semester fire drills with each House Director, members, University of Arkansas Police Department, U of A Fire Marshall, University Housing Assistant Director for Facilities Administration and Fayetteville Fire department.
12. Document and maintain all files regarding life safety issues for each house.
13. Develop, implement and evaluate House Director Recruitment, selection and training programs.
14. Develop and maintain a House Director Manual.
15. Coordinate house members and apartment student’s feedback/evaluation process each year.
16. Facilitate monthly meetings with House Directors and semester meetings with house officers.
17. Assist in building collaborative relationships with individual Greek Houses.
18. Support Diversity Impact and other campus efforts for recruitment and retention of students.
19. Prepare and submit occupancy, quarterly and annual reports and other reports as assigned.
General (20%)
1. Be accessible to students, house directors, staff and administrators.
2. Investigates and responds to concerns and complaints of students, parents, University staff members, and others in such a manner that provides accurate information and fosters good public relations.
3. In cooperation with the Office of Community Standards and Ethics and University Police, assist in administration of the university’s judicial procedures.
4. Provides appropriate counseling referral for individual students or staff when needed.
5. Assist with contracting and assignments as needed for the apartment complex and Greek houses managed by University Housing.
6. Assist in policy formulation for University Housing.
7. Communicate with on and off campus chapter advisors as necessary or appropriate.
8. Serve as a resource to House Director’s and members in areas of administration.
9. Assume other responsibilities as an active member of University Housing and the Division of Student Affairs.
10. Maintain professional contacts outside University Housing and the University of Arkansas through involvement in professional organizations.
11. Serve as a member of the University Housing Leadership Team.
12. Represent University Housing on various departmental and campus wide committees.
