Job Details:

  • Under the direction of the Program Director, the Program Coordinator is responsible for administrative oversight for Ryan White grants received by the Waterbury Hospital Infectious Disease Clinic (WHIC). Works cooperatively with a multidisciplinary team to facilitate meetings, coordinate and prepare reports, evaluate quality initiatives, and perform other administrative duties as assigned. Responsible for the supervision of Clinic staff in order to ensure the delivery of high-quality patient care at the WHIC. Administrative assistant to the Section of Infectious Disease.


    Supports the Program Director to ensure operations for Ryan White (RW) patients are in compliance with Health Resources and Services Administration (HRSA) guidelines and regulations.

    Coordinates data to prepare the quarterly reports required by funder.

    Participates in monthly calls with HRSA.

    Participates in quality meetings to create quality goals for the Ryan White program as well as ensure set quality measures are being met or worked towards.

    Develops timelines and agendas to ensure program goals (work plans) and HRSA requirements are met; evaluates programmatic development in accordance with established work plan.

    Assists the Program Director in updating and maintaining Clinic policies, procedures, and objectives as they apply to the RW program and in accordance with federal and state guidelines.

    Acts as the primary contact with organizations that are sub-grantees of WHIC, as well as grantor organizations of which WHIC is a sub-grantee.

    Supervises Clinic staff in order to maintain a productive working environment
    Coordinates all front office activities.
    Prepares and manages staff schedules to maximize productivity, and completes payroll.
    Oversees office and business supplies inventory, reordering and storage.
    Ensures that appropriate information is shared within the office for effective operations.
    Ensures that confidentiality is maintained in all aspects of the job.
    Administrative duties as requested by the Infectious Disease clinicians

    • Bachelors degree required.
    • Minimum of one (1) year of management/supervisory experience.
      Must have strong analytical and written communication skills, and the ability to analyze and interpret data.
      Must be able to communicate clearly to staff, customers and the public, and network with community-based agencies.
      Must have excellent organizational skills and be able to prioritize and problem solve.
      Knowledge of medical procedures, terminology, and conditions effecting the populations served
    • Ability to interact with patients, families, and agencies and other disciplines with tact and confidentiality.
      Experience in grant management strongly preferred.
      Working knowledge of the challenges and needs of the HIV population and existing HIV/AIDS resources, preferred.
      Position requires strong computer skills, experience with electronic medical records and reporting.
      Candidate must have strong oral and written communication skills to.
      Candidate must be able and willing to work in a multicultural organization.
      Bi-lingual in English/Spanish preferred.
