A top-tier intellectual property law firm that specializes in patent law and other intellectual property work is seeking an Office Support Clerk to join their team in San Jose.

About the Role:

This is a temp-to-perm position. The Office Support Clerk is responsible for a diverse range of administrative tasks.

Job Description:

What youll do:

  • General facilities duties, including but not limited to, handling of inbound and outbound mail, ordering supplies, maintaining printers, placing service requests with property management using their online service tool, maintaining reception area, conference rooms, resource room, IT closet and Bistro area.
  • General administrative duties, including but not limited to, drafting letters, preparing and submitting expense reports, entering diary entries, filing, booking travel, and providing back up support for the Legal Administrative Assistants.
  • Assisting with onboarding of new hires (e.g., coordinating with IT on laptop setups, ordering building access cards, coordinating with onboarding team on orientation plans; prepping workspaces, updating and maintaining spreadsheets and checklists New Hire Checklist, IT Inventory, Seating, Swag, etc.)
  • Presenting a warm and welcoming first point of contact for visitors and clients by greeting them as they arrive and connecting them with the appropriate individual.
  • Monitoring visitor access and maintaining security awareness.
  • Answering telephone calls, taking messages, and directing calls, as needed.
  • Coordinating internal and external meetings and video conferences, including technical support and catering services.
  • Booking workspaces for visitors.
  • Calendar management.

Education and Experience:

  • High school diploma or relevant work experience
  • Intermediate proficiency with the MS Office (Word, Excel, and Outlook) applications.
  • Ability to take initiative and possession of strong problem-solving skills.
  • Comfortable with prioritizing conflicting needs; handling assignments confidentially, expeditiously, proactively and following through on tasks until successful completion.
  • Strong organizational skills that reflect ability to seamlessly perform and prioritize multiple tasks with excellent attention to detail.
  • Demonstrated ability to maintain high level of professionalism, confidentiality, discretion and judgement while being personable.
