JOB SUMMARY:
The Litigation Legal Executive Assistant is responsible for helping the attorney(s) to whom assigned and administer their complex and
growing practice.
ESSENTIAL DUTIES AND RESPONSIBILITIES: - Lead the management and administration of a large volume of time-sensitive communications, including email
- Build relationships with clients over the phone so that clients trust the Assistant with the administration of requested tasks
- Help with project management, including finding resources internally, to address client questions or concerns, get information and questions from internal resources, assist in resolving issues, and monitor and manage deadlines
- Assist with continuous client outreach, contact, relationship building, and marketing activities
- Prepare correspondence, legal documents, transcription, memos, and other materials accurately within expected deadlines
- Proofread all materials for typographical errors, office style conformity, accuracy, and inclusion of required information and enclosures
- Maintain current client and/or non-client files and records
- Reserve conference rooms for business meetings; order refreshment/lunches
- Event planning, coordination, and follow-up; travel arrangements
- Schedule appointments and maintain calendars
- Monitor and report continuing education coursework (CLE) for attorneys
- Prepare check requests
- Act as back-up for other legal executive assistants as needed
- Act as back-up for firm receptionist as needed
- Manage attorney board and other pro bono work
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- 3-5 years of administrative experience (within a law firm); HS diploma or equivalent
- Positive attitude, high energy, and a strong desire to love your work, enjoy your team, and help our clients and colleagues “win”
- Strong ability to manage a wide variety of active work streams at the same time
- Desire to be an integral part of a high performing team that greatly respects and invests in its assistants and willingly embrace the commitment that entails
- Driven, self-starter attitude with sound judgment
- Must be accurate and detail oriented, able to balance and prioritize a heavy workload
- Excellent verbal communication and writing skills
- Working knowledge of Microsoft Office Suite and database software
